PERSONNEL: Finance Secretary 

 

POSITION SUMMARY:

 

This position involves secretarial functions of routine difficulty. Work is performed under supervision and within established policy and procedures and USFR guidelines. The performance of varied but sometimes-routine office duties are inherent in this job. Responsibility for confidentiality is expected.

 

The typing of reports and correspondence, filing of materials, daily sorting and disbursement of mail, operating office machines, record keeping for activities account and ordering for both budget and auxiliary accounts, communications, updating the school website, and signing in and directing substitute teachers to assigned areas. Take minutes of administration meetings, be aware of board and state policies, and be able to keep sensitive information confidential.  

 

QUALIFICATIONS:

  • One-year office experience is required
  • Responsibility for confidentiality is expected
  • Able to cope with interruptions and stresses
  • Typing of financial reports and correspondence, filing of materials, daily sorting and disbursement of mail
  • Operating office machines, record keeping for activities accounts, and ordering for both budget and auxiliary accounts
  • Confident computer/technical skills, including experience with Google Suite (Gmail, Docs, Sheets, etc.), Microsoft Office, Student Data Management Systems (PowerSchool), Financial Systems (Visions), Kronos leave requests, intercom systems, and a variety of other digital programs for students and staff
  • Maintain an effective working relationship with other personnel and students.
  • Collects fee payments, makes deposits, pays invoices, processes purchase orders, and orders supplies
  • Creates an annual high school budget with the school principal
  • Creating and managing communication systems for financial transparency with departments within SLHS
  • Establish and serve as Site Facilitator for the high school teacher/staff supplies
  • Input data and run financial reports from the financial system
  • Process paperwork and put together cash boxes for all high school events that will be collecting monies 
  • Establishing and maintaining relationships with vendors and suppliers. Submit work orders with vendors for machine repairs (i.e., copiers, printers, food/drink vending machines, concessions, etc.)
  • Greet the public, answer phones, and assist personnel and students
  • Provides backup support to the Attendance Secretary position
  • Daily sorting and disbursement of mail
  • Assist in finding substitutes or class coverage needs 
  • Takes part in school staff activities and committees
  • Other duties as assigned within the area of the job description
  • Be aware of board and state policies, and be able to keep sensitive information 
  • May be required to drive motor vehicles in the course of duties (valid AZ Driver's License required)
  •   Good office protocol and good communication skills are required.  
  • Must work cooperatively with other personnel, students, and the public and be able to exercise good judgment.
